Position: Administrative Assistant-Volunteer

Location:          Mtwara/Dar es Salaam

Report to:        Customer Service Manager

Role: Volunteer

Job summary:

We are looking for a competent, dedicated and smart Admin Assistant to help with the organization and running of the daily administrative operations of the office. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways of achieving company’s objectives

Responsibilities

  • Perform receptionist duties when needed and maintain the front desk of the office.
  • Organize office and assist staffs in ways that optimize procedures and processes.
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments for clients
  • Ensuring availability of office supplies including availability of printer tonners, pens, pencils notebooks, cabinet files, printing papers etc.
  • Answer all telephone calls directed to the FBS landline phone or any other mobile phone dedicated for the office use.
  • Maintain trusting relationships with suppliers, customers and colleagues

Requirements/Abilities/Knowledge/skills/Experience

  • Certificate/Diploma in Administration, Secretarial services
  • Proven at least 1year experience in office assistant position, virtual assistant or in another relevant administrative role.
  • Thorough understanding of office management procedures and Office policy implementation.
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills (fluency in Swahili and English preferred)
  • Proficiency in MS Office (Outloock, MS Word, Excel, PowerPoint and Access)
  • Smart and friendly at place of work.
